Can high school students travel off campus?

Starting July 5, 2024 high school residential students may take day or overnight trips in alignment with the policies outlined in this message. Parents/Guardians may not remove their student from campus during the program without submitting the appropriate form and receiving approval. This helps Stanford residential staff ensure the whereabouts and safety of your student.

Travel Permission Forms must be completed for any residential student who will:

  • Spend a night away from the program (Overnight Leave)
  • Travel in a privately-owned vehicle, including with a Parent/Guardian or rideshare
  • Travel more than 40 miles away from Stanford (Day Trip)

Students traveling off campus (less than 40 miles away) by public transportation or bicycle do NOT require a Parent/Guardian to complete a Travel Permission Form. Students should complete the Local Off-Campus Travel Form to travel off-campus within 40 miles by public transportation or bicycle, and arrive back to the dorm for curfew check-in. This form is provided to students by house staff (House Directors and Summer RAs). 

Students do NOT need permission to attend programming-related or off-campus trips coordinated by Stanford Summer Session, as these events/activities will be chaperoned by our staff.  

Please follow these requirements when submitting the Travel Permission Form:

  • Forms must be submitted from a Parent/Guardian email address listed on the student's application (and where you received this message). Forms will not be accepted if submitted from an email address different from those on file or if submitted directly by the student. 
  • Forms must be submitted at least 2 business days prior to the leave start date (e.g. submit by Wednesday before 5 p.m. PDT for a Friday or weekend leave). This gives us the time we need to review, approve or deny, and communicate with students, residential staff, and Parents/Guardians.
  • A separate form must be submitted for each instance of travel or leave. We do not accept blanket forms (e.g. one form for a family dinner each Sunday).
  • Forms must be completed in their entirety by a Parent/Guardian.

Please keep in mind that students are never allowed to miss class unless there is a medical or family emergency. When students return to campus from Overnight Leave or Day Trips, they must check into their residence halls by curfew (midnight). 

Overnight Leave

After the first two weeks of the program are complete (Friday, July ), 5Parents/Guardians may request permission for their student to take Overnight Leave from the dorm to stay with a friend or family member who is over 21. Students may not stay alone, with chaperones under 21 years of age, or with other high school students. Please note that students must check into their residence halls by curfew (midnight) when they return from travel. We will not approve arrivals past curfew.

Parents/Guardians can request Overnight Leave for their student by filling out the Travel Permission Form. Forms must be submitted at least 2 business days prior to the leave start date (e.g. submit by Wednesday before 5 p.m. PDT for a Friday or weekend leave).

Day Trips (Trips Over 40 Miles Away)

After the first two weeks of the program are complete (Friday, July 5), Parents/Guardians may request permission for their student to travel over 40 miles away from campus (Day Trip), as long as they do not miss class. Please note that students must check into their residence halls by curfew (midnight) when they return from travel. We will not approve arrivals past curfew.

Parents/Guardians can request a Day Trip for their student by filling out the Travel Permission Form. Forms must be submitted at least 2 business days prior to the leave start date (e.g. submit by Wednesday before 5 p.m. PDT for a Friday or weekend leave).

Private Vehicles

After the first two weeks of the program are complete (Friday, July 5), Parents/Guardians may request permission for their student to ride in a private vehicle. Students may not drive themselves, have a driver under 21 years of age, or have a driver that is another High School Program student. Please note that students must check into their residence halls by curfew (midnight) when they return from travel. We will not approve arrivals past curfew.

Parents/Guardians can request travel in a private vehicle for their student by filling out the Travel Permission Form. Forms must be submitted at least 2 business days prior to the leave start date (e.g. submit by Wednesday before 5 p.m. PDT for a Friday or weekend leave).

We do not accept blanket authorization forms for students to ride with friends and/or family members. Parents/Guardians must submit a Travel Permission Form for each occasion in which their student will be riding in a private vehicle.

 

Leave on Class Days (M-F)

The High School Level program will not approve any Overnight Leave or Day Trips that would require students to miss class. Therefore, if you are requesting leave for your student that includes a class day (Monday through Friday), please be sure to indicate on the form when your student has classes to confirm that they will not be missing class. Please include this information in the "Purpose" section.

 

Receiving Approval

Once we receive your form, we will review to make sure all the necessary information is completed, and that the form was submitted by the Parent/Guardian email on file. If your request meets our requirements, you will receive an email with approval from the office. If not, our staff will contact you with the reason for denial. Students who take Overnight Leave or Day Trips without written approval from our office will be in violation of program policy and may be asked to leave the program.
